Preparing your Accommodation Binder before a school meeting (Caregiver Checklist)

Walking into an IEP or school evaluation meeting with 5 school administrators can feel intimidating. Being thoroughly organized changes the entire dynamic.

Here is what we organize into our 3-ring 'Caregiver Advocacy Binder':

  • Tab 1: One-Page Child Profile: A photo of our child smiling, listing their genuine strengths, special interests, known sensory triggers, and early warning signs of overwhelm.
  • Tab 2: Clinical Evaluations: Latest speech, OT, and psychological assessment reports with key diagnostic recommendations highlighted in yellow.
  • Tab 3: Accommodation Request Matrix: Concrete, realistic classroom accommodations (e.g., front-row seating away from noisy AC vents, extra 15 minutes on written assessments, visual task cards, permission to step outside with a designated hallway pass).
  • Tab 4: Meeting Notes & Email Trail: Written records of all past school correspondence.

Always bring a notepad and bring a trusted co-parent or advocate friend with you so you never have to sit alone at the table.

Peer experience sharing only. Not clinical or therapeutic advice. Consult a licensed occupational therapist or pediatric specialist for clinical intervention plans.

The One-Page Child Profile with their picture was the single most impactful thing we did. It humanized our daughter before anyone opened the clinical medical paperwork.
